How on Friday finish work at one o’clock p.m. and have taken care of all the important things?
Welcome. For those who do not know me introduce myself. My name is Rafal Mirkowski and am passionate about time management. I am also the author of a patented all over the world atypical planner. I decided to write as according to me you need to plan to finish work at the normal time and have peace of mind.
I used to work in a company that came down from abroad plastic pipes. Throughout the day, I was so „busy” that often I could not even eat a second breakfast. I came home in the evenings and on the sheer volume of cases was spinning in my head.
My biggest problem was that I could not leave work at the normal time. Practically every day, for some strange reason, I always had something else to do. After a while I started wonder why that is? Why all the important things I do only when others have left? I discovered that from the 8th to the 16th sacrifice „doing everything and anything,” and I put important matters.
New topics thrown by the boss, employees and customers, they took me all day and important writing whether the report had to do in the evening. Often, I no longer had the strength or head to it and put off for later. The worst thing is that on the weekend. I even remember that we had a saying at work that „well, that will be” free „, then at least you will be able to work safely.” Then I laughed at this, but today I very much regret that so much time was spent off work. So little effective work.
It often happened that somebody phoned and I said „I’ll call for five minutes,” and forgot about it. Only at the end of the day, when the dust fighting fell, I remembered that I had to call, but it was too late, and, a little ashamed.
I looked at my watch, it was already the 17th, we all went home and I have to do two more offers. The first one was so simple that it could have a new employee, surely he would have given it. To do the second miss important information. And enough yet to ask a colleague, he would take a minute. Now it is too late, because there is none. I have to find it yourself – but where? How long will it take me? If only I had that in mind, now wychodziłbym home now.
And further still my boss asks me „stupid” question, „What do you do today in particular?” I do not take it as he can, after all, toiled all day. But the worst was that perhaps he was right. I did everything but really NOTHING I can not remember.
Ok, I get down to doing offers, finish at 20th. Then I remind myself that I did today some really important things but then when asked – escaped my head. I’m going home. I am angry at myself and finished. Enough. Sense of their own incompetence was for me one of the worst feelings.
After these experiences, I decided that I need to change something, and I started to list everything I do during the day and above all plan. In addition, I decided that every day before noon will devote at least an hour to disconnect yourself from the vortex of the day and doing one important thing.
Ever since I started to do my life has changed dramatically. Not only the professional life but also private. I came home before 17 th and on Friday even sometimes on the 13th And on the weekends I worked already very rare.
With these few simple rules that changed the lives of people who have begun to use them.
So far always used a rule TWO MINUTES, that is, if it seemed to me that I can do something in two minutes, I did it right away. Today I know that I absolutely can not do that. Because as soon as I started doing it about 8 o’clock in the morning is often a „wake” for the 17-th and as usual important things were not done. And often it seems only that something is short, but lasts much longer.
Then I started to do „task list” so-called. TO DO but as the list grew to 30-position it stopped working. Then I learned about the principle priorities ABC and started scribbles mean task. „A” meant the most, „B” that less important and „C” the least. Then all tasks „A” additionally marked 1, 2, 3 depending on the importance. And again, it helped me a little, but as a description of the tasks were A1, A2, A3, … A10 and letters came to the „E” again stopped working. I’ve had a problem with the establishment of priorities, because how do I know that the more important is the customer who orders a lot today, and perhaps the less important tomorrow ordered more.
Finally, a training matrix learned about Eisenhower and sharing issues urgent-important, not urgent-important, urgent and non-urgent-invalid-invalid and should be focused on urgent matters-important. But how do I know that the matter now invalid will be valid tomorrow? Today I know that this principle works but when planning a life in a few dozen months, but not during daily work.
These are all of the „two minutes”, ABC and urgent-important not worked in my case. I think it suited when things are little or somebody has a very stable nature of the work.
Instead, I began to primarily use the calendar and write in it what I do and plan. It is important to plan on a regular basis. Do not set yourself some specific time in the evening or in the morning to sit down and plan. No! Instead, plan an „ad hoc”, ie immediately as you’ll get something for your head, write it on a specific date and time. Even if it does not come to fruition or move over time, and so it is important that I keep that in mind. Because thoughts are fleeting and quickly escape from the head of a particularly good ideas.
It is also important that the calendar was a week, that is, one in which you see the whole week at a time. We live in a weekly cycle and so we handle your affairs so as many of them „close” to Friday and the weekend to rest. When planning activities should have an overview of the whole week, because then you do some of the things we can intelligently connect, for example. Changing the place of one meeting, so that was a close second.
The unusual thing that I noticed in myself that for some strange reason, some of the tasks scheduled for Thursday and Friday, the „miraculously” done on Tuesday or Wednesday and thus „on Friday, I could go on the 13th” I’m pretty sure that is suited to everybody.
The biggest challenge I had with a long list of tasks, because they do not result in the ABC method and urgent-important. But with this I worked it out so that I could translate it for a specific date – planned to „immediately” in the calendar. This is what I delegated to others. If someone promised something „for today”, I called and was negotiating a new term. Cases have been very, very wanted to do, translated at the end. What has been and it was this really little I’ve done one after the other, starting from the issues that blocked someone further action and of short duration, eg. Two minutes :).
But perhaps the most important thing that has improved my efficiency and well-being is a division of the day into blocks MONO- and MULTI-action. It is important that each had at least an hour or two. MONO mode, in which you perform work that requires focus and concentration. And MULTI mode, when you are doing everything else. In MONO mode, imagine that you are „blind and deaf” laborer or creator who has to do a sculpture of the solidifying material and you can not take anything else because soon it will be too late. In contrast, in the MULTI doing anything, you’re a „man orchestra”, calling, talking, sending e-mails. Most important to plan at least one block MONO before noon, because then you’re in better shape psycho-physical.
I need to pay attention not to make the most common error. If the falls some thing you can do in accordance with the principle of „two minutes” is not SKUs to start doing it right away, because it was easy to fall into the trap of Multi-mode and „wake up” at the end of the day.
Instead, it is necessary to save „immediately” on your calendar and plan, preferably in a block or so-called MULTI. BETWEEN THE-TIME, which I will write the next article.
If you really want to get rid of the problem of „doing everything and not really anything” and start planning so as to leave the job at the normal time – that once you finish reading this, take a calendar and start planning. If something comes to mind is „at once” plan is a specific period of time. Share the day into blocks MONO and MULTI and stick to it. Best is a calendar where you can see the whole week at a time, because then there is a chance, and maybe even sure that some of the tasks scheduled for Thursday or piątkek, „magically” do on Tuesday. And then on Friday you will be able to finish work on the 13th
And if you do not have a calendar just start using it as soon as possible and your life will change dramatically.
